How an Insurance Producer’s Daily Activity Schedule Solves Your Problems

There is one thing that I consistently see top insurance producers practice, and it’s an insurance producer’s daily activity schedule. You may be asking, what is that? Instead of having the day run by the insurance producer, they take time each week and each day to intentionally and meticulously plan out their day so they are in control. 

In my opinion, too many insurance sales agents are underprepared and are not intentionally doing the core sales tasks (like prospecting) that need to be done to be a sales professional. The insurance producer’s daily activity schedule allows you to prepare and do the most important things so you can let go of the idea that you are too busy. 

Being efficient as a producer is critical – there is no more time in the day. 

Busy is a mindset. My retired mother is very busy. She’s making cookies, changing sheets, and reading her book. Her day is packed. I meet a lot of busy producers. Busy quoting low-quality leads, busy following up because they didn’t ask for the business, and busy avoiding prospecting. Top producers don’t want to be busy, they want to be productive. 

You can decide today – will you be the boss of your day or will you take control?

What Is Included in an Insurance Producer Daily Activity Schedule

The producer’s daily activity schedule is something that should be easy to complete but provide you a great deal of value. When you first start getting in the rhythm of creating it, it may take a bit more time, but give it 30 days. Over time you will feel very strange if you don’t have one – almost like a fish out of water. 

Consistency is key when creating your daily plan. Here are the essential elements to include:

  • Big 3: What are the top 3 things you need to do today
  • Daily Schedule: Set up your time blocks for what you need to do
    • Prospecting
    • Quoting
    • Meetings
    • Follow ups
    • Education
  • Goal Check-In: Where are you at with your personal and professional goals 

Once you’re up and running and consistently doing this, you should be able to complete your daily plan in about 10 minutes. 

Why Planning Daily Works

We see many producers come in, sit down, and dive into their emails. Now, yes of course you have to check your email and respond. However, is that the most important thing to start your day? 

What if you started your day reviewing your pipeline, pulling the 10 calls you need to make, or calling for follow-ups so the person has the whole day to respond? Email can be a bit of a trap. Remember, this email creates another email. By selecting the items that need your attention most, you start the day productive

Some agents push back on having a daily plan, concerned about how to handle emergencies and urgent items. While we’re not ER doctors, you can schedule catch-up and freestyle time. What you can’t do is chase the next shiny object, only to find you have no time for prospecting. 

Often, we’re like Koi fish; our activities expand to fill the time available. Think about vacation—time flies when you’re sitting on the beach. By being intentional with your time, you’ll achieve far greater things.

My favorite part of the insurance producer’s daily activity schedule is the goal check-in. Many years ago, I learned the power of manually writing down where you are with your personal and professional goals. It’s a look-in-the-mirror moment, helping you decide what to focus on today and make decisions that align with your goals. Waiting for a report to see your progress is not the best strategy. 

To hit your target, you need to own your goal. Unfortunately, many producers don’t know their monthly sales goal. If you don’t know your sales goal, hope is your strategy.

Conclusion

While committing to a daily plan may seem like a waste of time or too restrictive, I ask: what do you have to lose? If top producers all do this, what is the harm? 

Confront and ask yourself one question: why are you resisting creating a game plan? What is holding you back? Generally, it’s fear that you may not follow it or that it’s overwhelming to see your goal and where you are every day. However, it’s even more overwhelming to rely on hope as your strategy. Think it through—you have nothing to lose and everything to gain.
