I’ve been in insurance for over 20 years, and in 20 years it has not changed. Every agency I set my feet into says the same thing: “I’m so busy.” The problem is that busy is not a plan.”
Here’s the thing: in our more than 20 years in this industry, every single agency complains that they’re just “so busy.” It’s something we’ve heard time and time again, and it’s an issue because “busy” is not a solution or a plan.

- Get your email under control
You have to remember that your email is a landing pad, not a destination. When an email comes in, you need to get that information into your management system. If it doesn’t fit into your management system, get it into a folder. If you’re disorganized and searching through hundreds of emails, you’re going to miss something. Let this technology work in your favor, so you can slow down to speed up.
- Your management system needs to power again
Dovetailing off of our first point, your management system needs to be the engine behind your day. Stop using notepads and handwritten “to do” lists, but instead, take advantage of the technology at your fingertips. Your “to do” list is going to be fluid, and changing throughout the day. Plus, you need to act like you’re going to win the lottery at lunch. If you walk out the door and hop a one-way flight to a Caribbean island, someone else needs to be able to access your work and notes in the management system, so your customers don’t suffer.
- Be dedicated to first-call resolution
When a client calls, you need to do your best to fully resolve that issue over the phone, including documentation, so you’re done and ready to tackle the next task. And yes, you should be quoting over the phone (and never quoting in your email). Not only is first-call resolution best for your workflow, but your customers also want these immediate resolutions, instead of playing phone tag and following up.
- You’re responsible for being your best self
As a part of the team at your agency, it’s your responsibility to show up as your best self. You shouldn’t be dragging on Mondays and complaining to other team members, or lacking sleep. You should take care of yourself, and do your very best to leave your personal issues at the door, and your cell phone in a drawer. Showing up for your coworkers, bosses, and customers means you’ll be able to get things done, and make the most of your time.
